No human error
PerfectServe Rules Engine

Accurate call routing according to your rules.

How PerfectServe Works

PerfectServe works by assembling and maintaining your entire communications workflow, call schedules and individual contact preferences for every moment of every day.

When a call comes into your practice, PerfectServe responds to your rules for that moment in time, automatically assembles the correct call path, and then routes the call appropriately.

The need for operators to read and interpret your instructions on each and every call is eliminated, and with it the potential for human error.

Personal control over how you are reached

Personal control over how you are reached.

PerfectServe distributes your calls to any communications device - in whatever ways and times you specify.

PerfectServe allows you to decide when, where and how you want to receive calls and messages — independent of the other members of your practice or call group. You can eliminate callbacks and “pager tag” by receiving calls in real-time on your cell, home or other personal phone numbers.

Or you may choose PerfectServe’s failsafe voice or email messages, text messages or numeric pages— saving time and avoiding unnecessary interruption while ensuring critical messages are never lost or delayed.

Voice messages can be delivered to your phone location of choice — or you can receive notifications on your cell, pager or other wireless device. Click here to learn more about our new iPhone app!

Filter and prioritize calls by establishing different contact profiles for calls with specific attributes.

You can establish multiple contact profiles based on the following attributes:

  • Time-of-day and day-of-week.
  • Originating caller (e.g., nurse vs. physician).
  • Originating facility and department.
  • Priority.
  • Reason for call (e.g., new admission, consult, or critical result).

This allows you to create call flow processes customized to you practice workflow. For example, you may choose to route ICU calls or consults to your cell, while all other calls route as voice or text messages.

And you may choose to hold all routine calls that arrive during the evening hours until a time you specify the next morning.

With PerfectServe and your Smartphone, you are provided with an integrated voice and email inbox that is HIPAA-compliant. Because PerfectServe utilizes Microsoft ActiveSync, messages are pushed to your iPhone or Windows Mobile device in real time.

Caller ID privacy protection.

With PerfectServe, the privacy of your personal phone numbers is always protected.

When you return patient calls through PerfectServe, your office caller ID is presented to the parties you call, instead of your home or cell phone numbers.

So you never again have to chose between your patients’ well being and your personal privacy - a difficult choice at best.

Enjoy the convenience of one-call message retrieval and callback.

With PerfectServe, you can retrieve and return a voice message in a single call. After listening to a voice message, you simply say, “reply” and PerfectServe dials the call for you.

No more awkard hanging up and redialing on-the-fly. No more fumbling for a pen to scribble down callback numbers.

Call detail report

Reduce your malpractice risk.

Failsafe contact means you’ll never miss a critical patient-care call.

With a failsafe contact process, PerfectServe monitors when you answer a call or retrieve a voice or email message.

So if you haven’t responded within a specified period of time, notification escalates automatically — intensifying efforts to reach you according to the protocol you have defined.

PerfectServe will re-page you, call or send a text message to your cell phone, send an email, or call your home or office back line. Eventually, if you still have not responded, other physicians in your call group can be reached via a predefined backup process.

Every interaction documented automatically.

Have you ever been accused of failing to return a call you know you never received? With PerfectServe, you are protected because every call and message transaction is documented for you — automatically.

This includes every call and message you receive, the date, time and calling ID, the outcome of each call, notification attempts made, message retrieval date and time, and when and to what location reply calls are made.

So if the question of liability arises, you can prove whether or not a call was received. And for the calls you did receive, you can show when and how you responded.

Effortless on-call schedule administration.

Changes are made easy via the Web or phone.

You can make call schedule changes as often as you like by accessing your My PerfectServe account over the Web or phone. And if you need assistance, PerfectServe Help Center administrators stand ready serve you 24/7/365.

And because your on-call schedules are built into the PerfectServe network, changes you make are automatically reflected in your call flow in real time; and you never have to distribute your schedules or last minute change to multiple locations or departments.

Callers dial in and route automatically to the correct covering physician for that moment in time.

Direct doctor to doctor contact

One-number access to any colleague.

Direct doctor-to-doctor contact.

PerfectServe connects every member of your practice or call group via your single My PerfectServe mobile number.

And if you're part of a hospital that had deployed PerfectServe, you're My PerfectServe number connects you to every member of your hospital's medical staff.

Calls route automatically based on the preferred contact method of the physician you wish to reach. So you no longer have to keep track of a colleague’s whereabouts or personal phone numbers.

Prioritize urgent calls from colleagues.

Because PerfectServe can distinguish calls from physicians, you can give your colleagues priority access to you — routing them straight through to your mobile phone, while treating other calls, e.g., those from nurses or patients, differently.

Thus, your colleagues bypass your office switchboard and automated attendant menus.

Replace time wasting “pager tag” with voice messaging for routine updates and consults.

Sometimes you need to have a two-way conversation with a colleague, but other times you only need to convey information. That’s where PerfectServe voice messaging can help. PerfectServe lets you send detailed messages to colleagues that you can be assured will be heard personally.

Compared to paging - and the interruption of a callback - PerfectServe voice messaging lets you complete a communications cycle with a colleague and move on.

Know if your colleague is on call, and if not, who is covering.

When you call a colleague, PerfectServe tells you if another physician is covering. In most cases, you can choose to contact the desired doctor or the covering doctor, depending upon your situation.
